What do you need before you start?

- A paid plan if you want new requests to arrive: Printcart lists quote requests as a Premium feature. Read Plans, tokens and upgrading before you promise quotes to buyers.
What has and has not been checked. The screenshots come from a demo store called Demo Print Shop with made-up buyers. We ran every step on the real Printcart Dashboard against demo data, and we read the matching Printcart API code to see what each button does behind the scenes. We have not yet verified a quote request sent by a real buyer from a live storefront, because our Printcart test store has no quote requests. Where a step depends on that, this guide says so.
How do you handle a quote request in the Printcart Dashboard?
Step 1Turn on the Request Quote button
In the left menu open Store Products, then Request Quote. Switch on Show this button on eligible products, change the button text if you like (the default is Request a Quote) and click Save button settings.
Expected result: The card Button enabled at the top changes from Off to On. Where the button shows on your storefront depends on your platform and theme; we have not photographed it on a live shop, so check one product page yourself.

Step 2Open the Quote Requests list
When a buyer sends a request, Printcart emails the address on your account with a link called Review the quote request, and the buyer gets an automatic "We received your quote request" email. You can also open Orders Management then Quote Requests at any time. Use the tabs All, Pending, Approved and Cancelled, or search by name or email.
Expected result: A table lists each buyer, the product, the quoted price (a dash means not quoted yet), the status and the date.

Step 3Read the request
Click the buyer's name. The Buyer card has their email, phone and WhatsApp. The Product card shows the product and quantity. Design file shows the artwork they attached, with an Open / download button, and Buyer note shows what they wrote.
Expected result: The header shows Quote # and a reference, the status Pending, and a box called Next action: Add quoted price.

Step 4Quote a price and add a private note
In the Quote back panel type your price in Quoted price (the currency is USD unless the product sets another). Use Internal note (merchant only) for things your team needs, such as turnaround. The buyer never sees this note. Click Save price & note.
Expected result: A green message says Quote saved. and the price appears in the header. The status is still Pending.


Step 5Approve the quote
When the offer is ready, click Approve. The button stays grey until a price is saved, which protects you from approving a quote with no price.
Expected result: The label changes to Approved and the Next action box offers Convert to order (see the note at the end before you use it).

Step 6Send the price to the buyer yourself
Approving a quote changes its status in your Dashboard only. Printcart does not send the buyer an email with your price, and the page does not give you a link to share. In the Buyer card click the email address to open a message to the buyer, or the WhatsApp number to start a chat. Write the price, the delivery time and how you want to be paid.
Expected result: Your mail app or WhatsApp opens with the buyer already filled in. Once you have sent your message, the buyer has the price.

Step 7Say no politely: cancel a quote
If you cannot take the job, open the request, add an internal note for your team and click Cancel quote. Tell the buyer yourself, as in step 6. Do not use Delete quote in the Danger zone for this: it removes the request from your list.
Expected result: The label changes to Cancelled, the message Quote cancelled. appears and the request moves to the Cancelled tab. A cancelled quote cannot be reopened from this screen.

Should you use Convert to order?
After you approve a quote, the page shows a green Convert to order button, and it does create an order. For now, we suggest you do not rely on it. We tested it and the order it creates holds the buyer's name and contact details, your price and the buyer's note, but not the product and not the artwork. The new order page says No products attached to this order and has no print file. If you convert, keep the quote page open: the buyer's artwork is still on it, under Design file. The order also carries no payment link, so you still collect payment yourself. We have reported this and will update this guide when the order carries the product and file.
Troubleshooting
The Approve button is grey
Type a price in Quoted price and click Save price & note first. Approve and Convert to order both need a saved price.
The buyer says they never got my price
That is expected: Approve does not email the buyer. Send the price from the email or WhatsApp links in the Buyer card (step 6).
No requests are arriving
Check that Show this button on eligible products is on (step 1), that the button appears on a product page of your shop, and that your plan includes quote requests. The notification goes to the email address on your Printcart account.
